一封电子邮件的组成要素<br /><br />毋庸置疑传统的信函往来越来越被电子邮件交流所取代,虽然不同的电子邮件系统提供的用户界面千差万别,但是标准的电子邮件都是由以下几个主要要素组成的:<br />To (收件人栏)—— 输入收件人的电子邮箱地址<br />Cc (抄送栏)—— 输入接受抄送文件的人的电子邮箱地址,并且收件人知道此抄送信息。<br />Bcc (密件抄送栏)—— 输入接受抄送文件的人的电子邮箱地址,而收件人不知道此抄送信息。<br />Subject (主题栏)—— 输入邮件的简短文章概括介绍。收件人能在其信箱中的邮件列表中清晰浏览此内容。<br />Message text area (正文栏)—— 输入邮件文章内容<br />Attachments (附件栏)—— 输入邮件附带的附件信息<br /><br />摘自<a href="http://www.writingtool.cn/know.asp" target="_blank">http://www.writingtool.cn/know.asp</a> 《英语函件写作工具》

如何令英语E-mail中的主题引人注目<br /><br />用E-mail对外交流时,主题栏(Subject)是收件人最先能看到的部分,因此主题的书写应做到简单明了。首先,主题字数不宜过多,最好在25-35个字符左右,这样能保证邮件列表中能显示出全部的主题内容,有时一个单词往往就能起到很好的作用,如:invoice 1234(发票1234)不要书写过长的句子;其次,可在主题中直接告知收件人需要做什么,例如:Send guidelines (把方案发过来),这样能明确写件人的意图;再次,使用强调注意的词,如:Urgent,但应注意恰当使用,如果使用次数过多,可能造成收件人对此类邮件敏感度的降低。<br /><br />摘自<a href="http://www.writingtool.cn/know.asp" target="_blank">http://www.writingtool.cn/know.asp</a>

利用倒金字塔式的写作方式书写E-mail <br /><br />重点在上,由上往下写,也叫做倒金字塔的写作方式是报纸新闻记者使用的一种技巧。用这种方式写作,重要内容写在前面,随着叙述的一步步展开,重要性渐渐减弱。这种方式的关键在于,在紧张、有限的版面内尽快地把信息传达给读者。通常使用这种方法,需在首段就交待清楚who、 what、 when、 where 和why,然后陈述其他的辅助信息。使用这种方式书写的电子邮件,可以使得收件人在打开邮件浏览第一眼的时候就基本了解了发件人所要表达的意图了。<br /><br />摘自<a href="http://www.writingtool.cn/know.asp" target="_blank">http://www.writingtool.cn/know.asp</a>

注意E-mail 中问候语和称呼<br /><br />生活节奏越来越快,E-mail的书写也越来越简洁,很多时候BTW代替了by the way, as soon as possible则被ASAP取代了。很多正式信函中的套话,问候语,结束语渐渐被省略了。尽管这样,花一点时间来表达友好的信息还是很必要的。特别是在邮件开头的加上问候语能使信件读上去更加的友好和人性化。很常见的E-mail中的问候语和称呼如:<br />Hello, Mike, <br />Greetings!<br />Hi, Jason,<br />“Dear Sirs or Gentlemen” 这样的称呼已过失。如果收件人不认识您,还应注意在邮件的开头几行之内把你的身份,工作的公司、部门或其他信息简短交待清楚。<br /><br />摘自<a href="http://www.writingtool.cn/know.asp" target="_blank">http://www.writingtool.cn/know.asp</a>

使得你的邮件更便于收件人回复<br /><br />电子邮件能够非常迅速实现通邮件双方的交流,利用此特点,可以方便双方频繁交换意见,特别是通过E-mail可以快速对问题进行答复。如果你清楚表达出你需要什么回复,收件人会给予更迅速的反馈。<br />——首先你发出的邮件必须提供足够充足的信息以便收件人做出回复。如果收件人缺少回复所需的信息,那么你就不得不先来来回回解释这些信息;<br />——其次注意句式和措辞,使用问句往往能得到想要的回复,且句子要尽量简短,尽量做到使收件人用“yes”或是“no”就能轻易做出回答。如:<br />Should we adopt Jason’s suggestion for the meeting? <br />而不采用,Let me know your thoughts on Jason’s suggestion for the meeting.<br />——此外,如果邮件需要对方回复,最好在主题行中就做出标记。<br /><br />摘自<a href="http://www.writingtool.cn/know.asp" target="_blank">http://www.writingtool.cn/know.asp</a>
